Sending business documents by courier: how to keep them safe

Tenders, signed agreements, cheques and original certificates cannot simply be re-printed if they go missing. A few habits before handover make document courier far safer.

Documents are the most common thing we pick up from offices in Hazratganj, Gomti Nagar and Vibhuti Khand, and also the consignment people worry about most. A lost parcel of T-shirts is an inconvenience; a lost tender file or an original property document is a genuine problem. The good news is that nearly every document loss we have seen could have been prevented at the sender's desk.

Before you hand it over

  1. Scan or photograph everything. Keep a digital copy of every page you send, including the envelope with the address.
  2. Use a rigid envelope or a document pouch. A plain paper envelope tears, bends and soaks. For originals, put the papers in a plastic sleeve first, then in a cardboard or bubble mailer.
  3. Write the full address, PIN code and a mobile number of the receiver. Most delays on document consignments are caused by an unreachable receiver, not by transit.
  4. Write your own name and number on the back so the packet can come home if delivery fails.
  5. Seal it in front of the pickup executive and ask for the receipt with the consignment number.

Choosing the service

What not to send by courier

  • Cash, bearer instruments and blank signed cheques.
  • Original passports unless a visa process specifically requires it and you have confirmed the receiver.
  • Anything you have not copied and cannot replace.

On the receiving side

Ask the receiver to check the seal before signing and to report any damage on the delivery sheet at that moment. Once a consignment is signed for as received in good condition, a later claim is much harder to establish.
